What is in the vote-by-mail ballot requests activity report?

Each county activity report contains information about individual voters requesting vote-by-mail ballots during an election cycle (involving a scheduled presidential preference primary, primary and general election), or during a special election. Vote-by-Mail voters who are entitled to and have requested address exemption from public disclosure are not included in the reports. Each report contains cumulative information from the previously submitted daily activity reports.

When are vote-by-mail ballot requests activity reports filed?

Each county must upload daily activity reports to the State starting 60 days before and ending 15 days after the election. A statewide consolidated file is created each time to reflect the latest of that day’s filed reports. If a county has not submitted a report due for that day, it will be noted online and you will need to contact the county Supervisor of Elections to obtain the report.

State posting of these reports will end on the 15th day after the election.

When are vote-by-mail ballot requests activity reports processed?

Each county is only required to report to the Division of Elections once a day by 8 a.m. reflecting the prior day’s activity. The Department of State then makes the information available online by 9 a.m. In the event a county report is not uploaded in the first window, the website is refreshed at noon, 3 p.m., and 6 p.m. (Eastern Time) to capture any outstanding county report subsequently uploaded so that all 67 county reports are reflected in the statewide consolidated file by day’s end.

State posting of these reports will end on the 15th day after the applicable election.

Who can access vote-by-mail ballot requests activity reports?

Only the following persons and entities listed in law are entitled to access these activity reports:
  • a canvassing board
  • a political party or official thereof
  • a candidate who has filed qualification papers and is opposed in an upcoming election
  • registered political committees

How are vote-by-mail ballot requests activity reports accessed?

When does access to vote-by-mail ballot requests activity reports expire?

Authorized access to these activity reports at the State level automatically expire at the end of the calendar year in which issued.
